1. Introduction

1.1 These Terms and Conditions govern your participation in services and programs offered by us.

1.2 By using our services or participating in our programs, you agree to be bound by these Terms and Conditions.

1.3 These Terms and Conditions apply to all services, including but not limited to in-person events, online courses, workshops, mentorship, and digital resources.

2. Registration

2.1 Registration is confirmed only upon receipt of completed registration forms.

3. Service Changes

3.1 We reserve the right to make changes to content, structure, dates, times, venues, or staffing if necessary.

3.2 We will notify you of any significant changes as soon as possible. If major changes are made less than 7 days before the service start date.

4. Conduct and Participation

4.1 Participants are expected to follow our Code of Conduct, which promotes respect, appropriate engagement, and safe environments.

4.2 We reserve the right to remove a participant if their behaviour:

• Endangers themselves or others

• Significantly disrupts the environment

• Constitutes bullying or harassment

• Involves deliberate damage to equipment or facilities.

5. Special Needs and Accommodations

5.1 We strive to make our services accessible to all participants. Users must inform us of any special needs, medical conditions, allergies, or other requirements at the time of registration.

5.2 While we will make reasonable accommodations to support participants with special needs, there may be limitations to the accommodations we can provide.

5.3 Failure to disclose relevant information about needs may impact our ability to provide appropriate support and, in some cases, may require withdrawal from the service.

6. Health and Safety

6.1 Basic first aid will be administered when necessary. In case of emergency, medical professionals will be contacted, and emergency contacts will be notified immediately.

6.2 Participants must provide emergency contact information and are responsible for ensuring it remains current.

6.3 Participants must not attend in-person events if they are unwell, particularly if they have contagious conditions.

6.4 We follow health and safety guidelines provided by relevant authorities and venue requirements.

7. Photography and Media Consent

9.1 We will take photographs or videos during services for educational purposes, promotional materials, social media, website content, and impact reports.

9.2 Participants can opt out of photo/video consent on the registration form.

9.3 Participants are not permitted to take photographs or videos of other participants without explicit permission.

8. Data Protection and Privacy

8.1 We collect and process personal information in accordance with applicable data protection laws and our Privacy Policy.

8.2 Personal data will only be used for purposes related to service administration, safety, and communication about our activities.

8.3 Any research or evaluation activities using participant data will require specific consent.

 

9. Online Safety and Digital Services

9.1 For services involving internet access or online components, we implement appropriate safeguarding measures including content filtering and moderation.

9.2 Participants must follow our Online Safety Guidelines, which will be provided for relevant services.

9.3 We cannot accept responsibility for participants' online activities outside of our supervised service sessions.

10. Liability Limitation

10.1 While all reasonable care is taken to ensure participant safety and satisfaction, participants acknowledge that participation involves inherent risks.

10.2 We maintain appropriate liability insurance but are not liable for:

• Personal property loss or damage

• Injuries or damages resulting from failure to follow instructions

• Pre-existing conditions not disclosed to us

• Circumstances beyond our reasonable control

10.3 Our liability is limited to the service fee paid, except in cases of death or personal injury caused by our negligence or other liability that cannot be excluded by law.

11. Communication

11.1 Primary communication will be via the email address provided during registration.

11.2 It is the participant's responsibility to regularly check communications from us and ensure contact details are kept up to date.

11.3 Urgent communications may be sent via alternative methods to the contact information provided.

12. Code of Conduct

12.1 All participants must adhere to our Code of Conduct, which includes:

• Treating others with respect and kindness

• Following safety instructions

• Using equipment and resources appropriately

• Participating according to service guidelines

• Respecting others' work, privacy, and ideas
